Meeting Facilities

Individuals and businesses need to complete a Room Rental Agreement Form to reserve a room, which can be done through the College's online reservation system or MyFHTC. Additionally, the applicant must choose the room setup during the reservation process.

FHTC is not responsible for security during events, and renters must manage their guests and ensure lawful conduct. Events should not involve fraudulent activities, and the premises must be kept clean, with all trash properly disposed of. Any cancellations or changes need to be reported at least 48 hours before the scheduled event.

Only authorized FHTC staff are permitted to adjust the partition walls between meeting rooms and are responsible for setting up equipment like tables and chairs. Renters can bring outside food and beverages, excluding red and purple drinks, and must report any carpet spills to FHTC Custodial staff immediately. The renting organization is liable for any damages to the room or equipment and must cover costs for reimbursement, replacement, repair, or cleaning.

The conference room policies state that open flames are not permitted, and decorative materials must be securely contained. Wall and ceiling attachments are prohibited, though easels for signage are allowed. The organization reserving the room is responsible for supplying all necessary stationery items.

Individuals and businesses are prohibited from using other office work areas, staff equipment, or any areas of the building outside of the rented room and common spaces like hallways and restrooms. College instructional equipment, lab, and culinary spaces are not accessible to business or community groups under any circumstances.

Employees using facilities after hours for personal activities must handle all set-up, clean-up, and tear-down duties, remain present during their use, and ensure the building is secured.

College facilities cannot be used for fundraising events by candidates or political parties, but can be reserved for political meetings if they don't disrupt regular activities, if no reasonable community alternatives are available, if students can attend for free, and if all fees are paid in advance. Political candidates and office
holders may only be acknowledged during campus events they are attending, and distribution of political handbills is banned in areas primarily for instruction or during enclosed public events.

FHTC has a strict no-tobacco policy on campus, banning its use in all college buildings, facilities, grounds, parking lots, and vehicles, as well as on any property leased or managed by the college.

Violations of these conditions may result in denial of future Conference Center rental requests.
